One library for every client, not one project per chat
Claude Projects Alternative for Your Client Documents and Notes
Short answer: Claude Projects is a good workspace for one task at a time, but each project caps files at 30 MB, has to fit Claude's context window, and can only be shared inside a Team or Enterprise organization. MentalClone keeps all of your documents in one permanent library, answers only from them in your own voice, and lets a client ask questions through a private link.
Paste a page of your own writing into the box and ask it something. Three questions, no account needed.

What are the limits of Claude Projects?
Each file you add to a Claude Project can be up to 30 MB, and there is no fixed file count, but everything in the project has to fit the model's context window, which Anthropic puts at about 500 pages of text on paid plans. On Pro, Max, Team and Enterprise, retrieval switches on as a project fills up and stretches capacity up to roughly ten times. Free accounts get up to five projects and no retrieval.
Those limits rarely bite on a single proposal. They bite on the way most consultants actually work: one project per client, the same style guide and past reports copied into each one, and a usage allowance that runs out faster when every message carries a long PDF along with it. The full per-plan numbers are in our Claude file upload limit breakdown.

Claude Projects alternatives compared for client work
The workspaces people move between when the job is asking questions of their own files. Prices are US list prices from each vendor's own page.
| Tool | Price | File limit | Share with a client | Best for |
|---|---|---|---|---|
| Claude Projects (Pro) | $20 a month, $17 billed yearly | 30 MB per file, must fit the context window, retrieval up to about 10x | No. Sharing is on Team and Enterprise, inside your organization | Writing, analysis and code over one project's files |
| ChatGPT Projects (Plus) | $20 a month | 25 files per project, 40 on Pro and Business | Invited ChatGPT users, on supported plans | General assistant work with files on the side |
| Perplexity Projects (Pro) | $20 a month | 5,000 files, 2.5 GB, 100 MB per file | Shareable projects | Web research mixed with your files |
| Gemini Notebook (NotebookLM) | Free tier, Google AI Pro $19.99 a month | 50 sources per notebook on the free tier, more on paid | Notebook sharing with Google accounts | One research topic with cited sources |
| MentalClone | 199 PLN a month (about $54), about $27 a month billed yearly | 100 MB per file, unlimited documents, one library | Yes, by private link, no account for the client | Answers in your own voice, only from your own files |
If you are weighing Google's notebook instead, the Gemini Notebook alternative page covers its source caps. If you want everything running on your own machine, the AnythingLLM alternative comparison covers local setups.
Can I share a Claude project with someone outside my team?
Not directly. Anthropic lets Team and Enterprise members share a project with other people in the same organization, with view or edit rights. A client, a coaching student or a reader who is not in your Claude organization cannot open it, and Pro and Max accounts have no project sharing at all.
MentalClone handles this with a link. On a paid plan you create up to 20 active share links, each answering up to 100 questions a day. The person on the other end asks in plain English and gets an answer drawn from your documents, without an account and without seeing your file list or your own conversations. You can revoke a link at any time.
- 1A coach gives clients a link that answers from the program workbook.
- 2A consultant hands over a project with a link to every report and memo behind it.
- 3An author lets readers question a body of essays in the author's register.

How moving from Claude Projects to MentalClone works
01
Gather the originals
Download the files you added to each project's knowledge. Claude does not export a project as one bundle, so use the source files on your drive.
02
Upload once
PDFs, Word files, spreadsheets, text and images up to 100 MB each, or a zipped Markdown notes vault of up to 2,000 notes.
03
Ask across everything
Each answer pulls from the files that best match the question, wherever they sit in the library, and says so plainly when the answer is not there.
04
Share by link
Create a link for a client or reader. They ask questions in the browser, you keep control and can revoke it.
Who switches from Claude Projects, and why
Consultants with a project per client
Ten clients means ten projects with the same methodology deck copied into each. One library answers "what did we recommend on pricing last spring" across all of them.
Coaches who want clients to ask
A Pro account cannot share a project with anyone. A share link lets clients question the workbook between sessions without a Claude subscription of their own.
Writers with years of material
Newsletters, talks and drafts add up past one context window. A library searched by relevance keeps all of it, and the answers come back in the author's own register.
Questions people ask about Claude Projects alternatives
Is there an alternative to Claude Projects?
+
Yes. ChatGPT Projects and Perplexity Projects are the closest general assistants, Gemini Notebook suits one research topic with citations, and MentalClone suits a permanent library of your own documents that answers in your voice and can be shared with clients by link.
How many files can you put in a Claude project?
+
There is no fixed count. Each file can be up to 30 MB, and the combined text has to fit Claude's context window. On paid plans, retrieval switches on as a project fills up and expands capacity up to about ten times. Free accounts stop at the context window.
Are Claude Projects available on the free plan?
+
Yes. Free accounts can create up to five projects. Pro, Max, Team and Enterprise have unlimited projects and the retrieval mode that lets a project hold more than one context window of material.
Can I share a Claude project with a client?
+
Only if the client is a member of your Team or Enterprise organization. Project sharing works inside an organization, by email or organization-wide, with view or edit rights. Pro and Max accounts cannot share projects. MentalClone shares through a private link that works without an account.
Is ChatGPT Projects better than Claude Projects?
+
For file capacity, usually not. ChatGPT Plus caps a project at 25 files, while Claude has no fixed count and uses retrieval on paid plans. ChatGPT is stronger when you also want image generation, voice and web browsing in the same workspace. Both cost $20 a month at the entry paid tier.
Can I move my Claude project files to MentalClone?
+
Yes, by uploading the original files. MentalClone reads PDFs, Word files, spreadsheets, text, Markdown and images up to 100 MB each, and imports a zipped notes vault of up to 2,000 notes. Project instructions do not carry over, because answers already follow your own voice.
How much does MentalClone cost?
+
Starter is 199 PLN a month (about $54) or 1,194 PLN a year, about $27 a month. Professional is 399 PLN a month (about $108) and reads three times more of your documents for each answer. Both include unlimited documents and messages. The demo at the top gives you three questions first.
