For consultancies, agencies and small firms

NotebookLM for Business Pricing and an Alternative for Small Business

Short answer: NotebookLM for business comes bundled. Google Workspace Business Starter includes basic access, Business Standard and Business Plus include expanded access, and larger companies buy Gemini Notebook Enterprise through Google Cloud. It works best when every person asking has a Google sign-in. If your firm wants one permanent library of its proposals, reports and playbooks that clients can question through a link, without accounts or per-notebook source caps, MentalClone does that from $49 a month.

How much does NotebookLM cost for business?

There is no standalone NotebookLM business subscription for small firms. You get it with a Google Workspace plan, or your company buys the Enterprise edition through Google Cloud. Google now calls the product Gemini Notebook, and the old NotebookLM name still works in search and in most help pages.

Option Price Notebook access Who can ask Best for
Workspace Business Starter $7 per user a month, annual Basic, up to 3 Audio Overviews a day Signed-in Google accounts Trying notebooks on a small team
Workspace Business Standard $14 per user a month, annual ($16.80 flexible) Expanded, up to 20 Audio Overviews a day Signed-in Google accounts, per your admin's sharing rules Firms already living in Gmail and Drive
Workspace Business Plus $22 per user a month, annual Expanded, same notebook allowance as Standard Signed-in Google accounts Teams that also need Vault and more storage
Gemini Notebook Enterprise Quoted through Google Cloud 300 sources per notebook, 500 queries per user a day Users in the same Google Cloud project only IT-managed rollouts with SSO and data residency
MentalClone Professional $99 a month, or $588 a year ($49 a month) One library, unlimited documents and messages You, plus anyone you send a private link, no account A firm's own knowledge, asked by staff and clients

Workspace prices are US list prices on annual commitment as reported by Workspace pricing guides in 2026; notebook access levels and Enterprise limits come from Google's Workspace admin help and Google Cloud documentation. Google marks its usage limits as subject to change.

Where NotebookLM stops working for a small firm

Notebooks are projects, not an archive

Each notebook holds a fixed set of sources. A firm with eight years of proposals and reports ends up splitting them across notebooks and guessing which one holds the answer.

Clients need a Google sign-in

Workspace notebooks are shared with Google accounts under your admin's rules, and Enterprise notebooks only inside one Cloud project. A client cannot just open a link and ask.

The bill is per seat

Expanded access arrives with Business Standard at $14 per user a month. For five people that is $840 a year, which is fine if you wanted Workspace anyway and steep if you only wanted the notebook.

Answers read like a research assistant

NotebookLM summarizes and cites. It does not answer in your firm's voice, which matters when the reader is a client asking how you would handle something.

A client portal built from your own documents

Upload the material your firm already produced: engagement reports, proposals, onboarding guides, SOPs, call transcripts. Then create a private link for a client. They open it in any browser, ask in plain English and get the answer your documents give, written in the first person, as your firm would say it.

When the files do not cover a question, the answer says so instead of guessing. That is the behavior you want in front of a paying client, and the reason a generic chatbot is the wrong tool for this job.

  • Up to 20 active links, each taking up to 100 questions a day.
  • Your file list stays hidden from the person asking.
  • Revoke a link the day the engagement ends.

How a small business sets it up in one afternoon

1

Pick the documents that answer questions

Proposals, final reports, SOPs, pricing memos, FAQ emails you keep rewriting. Skip drafts that contradict the final version.

2

Upload them in one batch

PDF, Word, Excel, CSV, PowerPoint, Markdown, EPUB, saved emails, scans and phone photos, or a zipped notes vault. Each file can be up to 100 MB.

3

Ask it what clients ask you

Run last month's client emails through it. Where it says the files do not cover something, that is the document you still need to write.

4

Hand out links

Send a private link to each client or new hire. Watch which questions come in and revoke the link when the work ends.

Which businesses switch, and why

Owner-led firms where the know-how sits in documents one or two people wrote, and clients keep asking about it.

Stacks of printed pages and a laptop on a desk during document review

Management and IT consultancies

Past engagement reports become a library partners and clients can ask, instead of one notebook per project that nobody reopens.

Marketing and creative agencies

Brand guides, campaign recaps and process docs answered for clients through a link, so account managers stop pasting the same paragraphs.

Coaching and training practices

Your workbooks and session notes answer client questions between sessions, inside what you actually teach.

Founders onboarding new hires

Memos, all-hands notes and SOPs answer "how do we do this here" without booking time on your calendar.

When NotebookLM is the better business buy

We would rather you pick the right tool than churn in a month. Stay with NotebookLM if one of these describes you.

You already pay for Business Standard

Expanded notebook access is part of what you pay for, so a second tool has to earn its place.

Everyone on the team needs their own seat

MentalClone is one library per account with share links. There is no admin console, SSO or per-user permissions.

You need audio and video overviews

NotebookLM turns sources into podcasts, videos, slide decks and mind maps. We answer in text only.

IT requires data residency or customer-managed keys

Gemini Notebook Enterprise offers VPC Service Controls, CMEK and US or EU data residency. We do not offer those controls.

Questions businesses ask about NotebookLM

How much does NotebookLM cost for business?

+

NotebookLM has no standalone business price for small firms. It comes with Google Workspace: Business Starter at $7 per user a month on annual billing includes basic access, and Business Standard at $14 and Business Plus at $22 include expanded access. Larger companies buy Gemini Notebook Enterprise through Google Cloud on a quote.

Is NotebookLM free for business use?

+

Anyone with a Google account can use the free tier, but a business account usually gets NotebookLM through a paid Workspace plan, and the free tier has the lowest limits of 50 sources per notebook. Free is fine for trying it; a firm that relies on it pays per seat.

Can NotebookLM be used for business?

+

Yes. Google includes it as a core service in Workspace business editions and sells an Enterprise edition through Google Cloud. It works well for research and summaries across a fixed set of sources, as long as everyone who asks has a Google sign-in your admin allows.

Is NotebookLM safe for confidential business data?

+

On enterprise-grade Workspace editions, Google says uploaded files, chats and outputs are not reviewed by humans or used to improve its models. On personal accounts, data is not used for training unless you send feedback, in which case Google may review that conversation.

Can clients use a NotebookLM notebook without a Google account?

+

Not in the business setups. Workspace notebooks are shared with Google accounts under your admin's sharing rules, and Enterprise notebooks can be shared only inside one Google Cloud project. MentalClone private links open in any browser with no account at all.

What is the best NotebookLM alternative for a small business?

+

It depends on who asks the questions. If it is your own staff in Google Workspace, stay with NotebookLM. If clients need answers from your firm's documents through a link, and you want one library instead of capped notebooks, MentalClone fits better, from $49 a month or $24 a month billed yearly.

How many sources can a business notebook hold?

+

Google's Workspace limits table ranges from 50 to 600 sources per notebook depending on edition and add-ons, and Gemini Notebook Enterprise allows 300 sources per notebook with 500 queries per user a day. MentalClone has no per-notebook cap: one library with unlimited documents.
