Short answer: Tana has three plans. Free costs $0 and covers 5 hosted meetings a month, 1 calendar and 50 AI queries. Pro is $20 per user a month on yearly billing at the current early bird rate, with $30 shown as the regular price, and gives you 20 times the free plan's AI plus unlimited hosted meetings. Business is a custom quote billed yearly, with SSO, audit logs, SOC 2 and HIPAA. Every account starts with a 30-day trial and no card.

People look up Tana pricing at two moments. The trial is about to run out, or a team lead is working out what Tana would cost for five or ten people. Both are spending decisions, so this page sticks to what you pay, what each plan actually unlocks and when Tana is the wrong tool to put the money into. Figures come from Tana's own pricing page, where the yearly toggle is selected by default. Most directory listings still quote older plans, including a Max tier that is no longer on the page.

The thing to notice is what Tana now sells. A year ago it was an outliner with supertags. The pricing page today leads with meetings: "You'll spend 30,000 hours in meetings. Make them count." The plans are cut along meeting volume and AI usage, not along notes or storage. If you still think of Tana as a note app, the price makes more sense once you read it as a meeting notetaker, a wiki and a notes graph billed together.

What Tana Pro costs per year and per team

Pro is priced per user, so the bill grows with headcount. At the early bird rate on yearly billing, one seat is $240 a year. At the $30 regular rate it is $360. For a team, the gap widens fast:

Tana's page carries a banner telling you to lock in early bird pricing now, so the practical advice is simple. If the trial convinced you, buy the yearly plan while the $20 rate is offered. Yearly also brings a 60-day refund window, which takes most of the risk out of committing for twelve months.

Is Tana free?

Yes, Tana has a free plan, and it is usable rather than a teaser. You can host 5 meetings a month with AI transcripts and summaries, connect 1 calendar, view and edit all your content and run 50 AI queries. What the free plan does not give you is volume. Fifty AI queries go quickly if you ask questions across your notes every day, and five meetings is roughly one a week.

Is Tana AI free?

Partly. The free plan includes 50 AI queries, and that is the whole allowance. Pro raises it to 20 times the free amount, and you can buy more on top. Tana says you get the latest Claude, Gemini and OpenAI models inside the app, so you do not need a separate AI subscription to use them in Tana.

What happens if I run out of AI credits?

You top up. Tana's FAQ says you can add AI credits in custom amounts whenever you need them, so running out does not lock you out of the app or your notes. It does mean a heavy month costs more than the sticker price, which matters if you budget per seat for a team.

Tana Business pricing

Business has no public price. You talk to sales, and it is billed yearly. What you get is the compliance layer a company buyer needs: SAML single sign-on, advanced security controls, audit logs, a custom data processing agreement with data residency and retention settings, GDPR, SOC 2 and HIPAA, plus a named customer success manager. If you work in healthcare or with US clients who send security questionnaires, this tier is the one that answers them. Pro does not.

Is Tana worth $20 a month?

It is worth it if most of your knowledge is created in meetings. Tana records and summarizes calls without a bot in the room, turns them into structured notes and lets you query that graph later. Consultants, product managers and founders who spend half the week on Zoom get a lot for $240 a year.

It is much harder to justify if your knowledge already exists as files. Tana's AI works over what is inside Tana. Years of client reports, PDFs, signed proposals and research notes on your drive are not in Tana until you bring them in, and an outliner is not built to swallow a 120-page PDF and answer from it. That is the most common reason people who start the trial end up comparing Tana alternatives instead of paying.

When a document library is the better buy

If the question you want answered is "what did I tell this client about pricing two years ago" or "which of my reports covered vendor risk", the cheaper path is a tool that reads the files you already have. If the calls are where your work happens, Tana or a dedicated notetaker is the right buy, and if all you need is for clients to pick a slot without email ping-pong, a simple scheduling tool for business teams does that job for far less than an AI workspace. Many people end up with both kinds of tool: one that captures meetings, one that answers from the archive.

Does Tana have a free trial?

Yes. Pro comes with a 30-day free trial, no credit card required, and you can cancel any time. If you then take the yearly plan, you also get a 60-day refund window, so you can test it on real work for three months in total before the money is final.

Is Tana pricing per user?

Yes. Pro is listed per user per month, so a team of five on the early bird yearly rate pays $1,200 a year. Business is quoted per company and billed yearly.

Can I keep my data if I cancel Tana?

Yes. Tana's FAQ says your data stays yours: you keep access after a downgrade or cancellation and can export it to other systems. Export before you cancel anyway, and check that the format opens in the tool you are moving to.

Does Tana have a student discount?

Tana's pricing page does not list a student or education discount. If you need one, ask Tana support directly rather than relying on directory listings, which often repeat old offers.
