Two details on that table are easy to miss. The extension price is the same no matter how many seats the license has, so a household or small office that bought extra seats does not pay more per year to keep them updated. And the multi-year discounts are only offered if you extend before your current update period ends. Let it lapse and you can still extend later, at the regular yearly price, but the two and three year options are gone.
Is DEVONthink a subscription?
No. The license never expires. When your year of updates ends, DEVONthink stays fully functional on the last version you received, and you can download that version again from your account. What you are paying for each year is access to new versions. That makes it closer to the old software maintenance model than to a subscription, and it means skipping a year costs nothing except the features released in that year.

Standard is built for personal use: multiple databases, full search inside and across documents, smart groups and automation. DEVONthink To Go 4 for iPhone and iPad is an App Store subscription: $2.99 a month or $19 a year, with Family Sharing. There is no one-time purchase anymore. Owners of a Pro or Server Mac license can register To Go with the five or 25 mobile seats included in their license instead, as long as the Mac license is still receiving updates. What the AI in DEVONthink 4 costs on top
DEVONthink 4 added an AI chat assistant, but it does not include an AI model. You connect your own: ChatGPT, Claude, Gemini, Mistral or Perplexity through an API key, or a model running on your Mac through Ollama, LM Studio or GPT4All. DEVONtechnologies points out that an API key is separate from a chat subscription, so paying for ChatGPT Plus or Claude Pro does not give you a key. API use is billed by the provider, usually pay as you go.
For a light user that bill is small. For someone who asks questions across hundreds of long PDFs every day, it is a running cost that does not show up on the DEVONthink price list, and it is worth estimating before you assume the license is the whole bill. - You are not only on a Mac. DEVONthink runs on macOS, with To Go on iPhone and iPad. There is no Windows or Android app, and the browser access in Server is for viewing a database, not for working in it.
- You want answers, not an archive. DEVONthink is superb at filing, searching and finding related documents. If what you really want is to ask a question and get a written answer from your own reports, notes and transcripts, you will spend time wiring an AI provider into a tool designed for organizing.
- Someone else needs to ask too. A client or colleague cannot question your DEVONthink database without DEVONthink, or a Server license and a network setup.
